Our executive assistant will provide support and assistance to executive staff and be the administrative contact point for employees and freelance contractors. Some travel between our branches (Belgium – Luxembourg) will be necessary on a weekly basis.
Main Job Tasks and Responsibilities
- Manage suppliers contracts (leasing, fuel cards, insurance, …)
- Prepare documents for the accounting and the social secretariat
- Scan, file and retrieve documents
- Liaise with internal staff at all levels
- Arrange and co-ordinate meetings and events
- Answer and manage incoming calls
- Receive and interact with incoming visitors
- Prepare and edit correspondence, communications, presentations and other documents
- Conduct research, collect and analyse data to prepare reports and documents
Education and Experience
- 5 to 10 years experience providing Executive support or secretariat
- Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
- Trilingual French, Dutch & English
- Knowledge of standard office administrative practices and procedures
