Our executive assistant will provide support and assistance to executive staff and be the administrative contact point for employees and freelance contractors. Some travel between our branches (Belgium – Luxembourg) will be necessary on a weekly basis.

Main Job Tasks and Responsibilities

  • Manage suppliers contracts (leasing, fuel cards, insurance, …)
  • Prepare documents for the accounting and the social secretariat
  • Scan, file and retrieve documents
  • Liaise with internal staff at all levels
  • Arrange and co-ordinate meetings and events
  • Answer and manage incoming calls
  • Receive and interact with incoming visitors
  • Prepare and edit correspondence, communications, presentations and other documents
  • Conduct research, collect and analyse data to prepare reports and documents

Education and Experience

  • 5 to 10 years experience providing Executive support or secretariat
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
  • Trilingual French, Dutch & English
  • Knowledge of standard office administrative practices and procedures
